Bookings for events and private hire of venue

  • Before confirming your booking please ensure all details are complete and accurate on your booking request form.

  • The Old Theatre Deli require a signed copy of the booking request form and payment of the required deposit by the date specified on the function booking request form, if we do not receive this we may release the event date to others.

  • The Old Theatre Deli will try to accommodate special requests for the initial booking or any amendments to bookings, the venue, goods and services are subject to availability.

  • Where The Old Theatre Deli is able to provide goods and services through its available services and products then you may not use third party providers for such items unless The Old Theatre Deli grants written consent otherwise. The Old Theatre Deli may charge a surcharge in such circumstances.

  • In the event that The Old Theatre Deli arranges for goods and services on your behalf, note that the terms and conditions of such third party shall apply.

  • When you make a function booking request you will be given a price for the venue for the event date and any other goods and services you have requested.

  • The Old Theatre Deli reserves the right to change the charges from time to time, in this instance The Old Theatre Deli will write to you.

  • At the time of the booking you will be required to pay a non-refundable deposit to the amount as set out on the function booking request form. This amount will be Credited towards the total charges payable. If you fail to pay the deposit and return the signed function booking request by the date specified on the function booking request , the booking shall be deemed cancelled.

  • In the planning of the event/function, the final charges payable may differ to those set out on the function booking request if the booking has been amended along the way. The running charges shall be changed accordingly.

  • If at any time, the running estimate becomes significantly larger than the original provisional charges as set out on the function booking request or certain goods or services are requested then The Old Theatre Deli may ask for a further non-refundable deposit whereupon your failure to make such further deposit payment shall entitle The Old Theatre Deli to cease to make any further additions to the booking.

  • The Balance of the charges shall be payable by the date set out in the function booking request.

  • Where there are any last minute changes to the event caused by you which results in additional costs to The Old Theatre Deli, these will be passed on to you for payment.

  • In the event that any changes to the booking are made after payment The Old Theatre Deli may require payment for the changes in advance. Otherwise any additional costs shall be invoiced following the event and shall be payable within 3 days.

  • If you fail to pay any sum on the due date before the event, The Old Theatre Deli will be entitled to treat the agreement as having been cancelled by you on the date that the payment is due.

  • The Stage has a maximum capacity of 100 guests. The number of attendees shall not exceed this number.

  • Menu choices are required to be finalised a minimum of one month prior to the date of the event (unless it is a last minute booking, we shall provide a suitable time frame).

  • You are required to confirm the number of guests attending the event on the date indicated on the function booking request.

  • If numbers are not confirmed by the guest confirmation date The Old Theatre Deli shall take the provisional numbers as on the function booking request and reserves the right to charge for such provisional numbers.

  • For the purpose of the charges, it is not possible to reduce the number of guests after the guest confirmation date.

  • The Old Theatre Deli shall try to accommodate a request for an increased number of guests beyond the provisional number on the function booking request, however we cannot guarantee this is possible. If we are able to accommodate we will confirm the maximum number of guests before the event and adjust the running estimate.

  • The Old Theatre Deli  catering services must be used for all food and drinks consumed at the venue and you may not use third party caterers for food including celebration cakes unless The Old Theatre Deli grants consent otherwise.

  • The Old Theatre Deli does not permit bringing alcohol or beverages for consumption on site, drinks bought onsite could incur additional fees being added to the bill.

  • In the event that you cancel a booking any deposit paid is non-refundable.

  • The venue shall be used only for the event detailed on the function booking request. You must be satisfied that the venue is suitable for the purpose of the event.

  • You agree that the decision of The Old Theatre Deli will be final in all matters relating to the use of the venue.

  • You shall use and shall only be permitted to use the venue on the event date and during the times specified on the function booking request. If you require access to the venue prior to the event that time must be included in the booking as the venue will only be made available for the times stated in the booking.

  • Smoking (including e cigarettes) is not permitted anywhere within the venue. Designated smoking areas are provided outside.

  • You are required to take all reasonable precautions to ensure that no damage occurs to the venue, its finishes, fixtures ,fittings, furniture, equipment contents or any other property. In the event of damage or the venue requiring extra cleaning The old theatre deli may have the  damage repaired or damaged items replaced or obtain extra cleaning services and you will be charged for the cost.

  • Any accidents occurring during set up, during the event and during pack up must be reported to staff and an accident report sheet filled in.

  • You must ensure that no guest trespasses on parts of the premises not hired.

  • The Old Theatre Deli reserves the right, without liability, to remove if reasonable, any persons from the premises whom it shall consider objectionable (including any appointed by you to perform duties at the event)

  • The Old Theatre Deli holds a premises licence with regard to the sale of alcohol by its personnel and for other qualifying activities such as playing of recorded music and the performance of live music. Any other licenses or permissions required for other activities are your responsibility to obtain.

  • Any third party providing goods or services at the venue will require approval of The Old Theatre Deli, this may be subject to conditions.

  • The Old Theatre Deli requires you or those hired by you to provide public liability insurance to cover claims arising from activities or the use of any equipment brought into the venue.

  • You are responsible of ensuring none of your guests will do anything which would invalidate the insurance or licenses maintained by The Old Theatre Deli, an example would be buying alcohol for underage guests.

  • No animals are allowed in the venue except guide dogs accompanying visually impaired people.

  • The Old Theatre Deli needs to approve and signs, structures etc that you wish to erect or display outside the venue.

  • The use of petrol, oil, gas or other substances with inflammable or explosive nature are not permitted in the venue, included in this is smoke machines.

  • You shall ensure that nothing is fixed to the floors, walls, ceilings or any other interior or exterior of the venue by means of nails,screws,drawing pins or any other means unless agreed by The Old Theatre Deli.

  • The Old Theatre Deli and any other person authorised by it shall have the right of free and unimpeded entry at all times and for all purposes to and from the venue.

  • The Old Theatre Deli shall be vacated by yourself, your guests and any third party suppliers at the end of the event date and time. If The Old Theatre Deli incur any costs by an overstay, this may be chargeable to you.

  • You may leave small venue dressing items at the venue, however this need to be organised prior to the event and items will need to be collected within two days.

  • The Old Theatre Deli reserves the right to use any digital platforms for the advertising and promotion of our business using your proposed event. If you wish not to be a part of this you have the right to inform us.

  • The Old Theatre Deli cannot accept responsibility for any of your guests or suppliers property and shall not be liable for any loss or damage to property brought to the venue or left behind.

  • Any electrical equipment brought into the venue must be approved for use by The Old Theatre Deli and must be tested for safety and be labelled with the date of the test. No additional lights or electrical extensions shall be used without the previous consent of The Old Theatre Deli.

  • All equipment etc brought into the venue by you or third parties shall be removed immediately upon completion of the hiring unless prior agreement is made with The Old Theatre Deli. In the event of you failing to clear the venue to the satisfaction of The Old Theatre Deli this shall be done by The Old Theatre Deli at your expense and The Old Theatre Deli may dispose of such items without liability.

  • The Old Theatre Deli at any time could cancel the booking or refuse you and your guests the right to use the venue during the event date in the event of you or any guest failing to perform any of the obligations contained within these terms and conditions or if The Old theatre Deli shall consider that the event is or is likely to be offensive, immoral or contrary to any law or regulation.

  • In the event that The Old Theatre Deli cancels the booking The Old Theatre Deli shall be under no obligation or liability to you or any guest, and neither you or any guest shall make any claim against The Old Theatre Deli in relation to the booking.

  • The Old Theatre Deli reserves the right to close the venue and to cancel or interrupt any booking without notice and without any liability legal or otherwise to you or any person affected by such a cancellation in the event where any member of the public is at risk or thought to be at risk, accident, failure of electricity or gas or any other service to the venue or any delay in necessary and essential repairs of the venue or for any other reason whatsoever outside the control of The Old Theatre Deli.

  • In the event that The Old Theatre Deli cancels a booking we shall let you know as soon as possible and The Old Theatre Deli shall refund amount paid by you to The Old Theatre Deli.

Bookings for Outside Catering

  • Before confirming your booking please ensure all details are complete and accurate on your booking request form.

  • The Old Theatre Deli require a signed copy of the booking request form and payment of the required deposit by the date specified on the function booking request form, if we do not receive this we may release the event date to others.

  • The Old Theatre Deli will try to accommodate special requests for the initial booking or any amendments to bookings, goods and services are subject to availability.

  • Each menu is bespoke and priced accordingly, you shall not rely on any statement contained in any brochure, price list or other sales literature.

  • At the time of the booking you will be required to pay a non-refundable deposit to the amount as set out on the function booking request form. This amount will be Credited towards the total charges payable. If you fail to pay the deposit and return the signed function booking request by the date specified on the function booking request , the booking shall be deemed cancelled.

  • The Balance of the remaining charges shall be payable by the date set out in the function booking request.

  • The Old Theatre Deli may provide a monthly payment system if required, please provide details in booking request form. Any monies paid monthly will be non-refundable

  • If at any time, the running estimate becomes significantly larger than the original provisional charges as set out on the function booking request or certain goods or services are requested then The Old Theatre Deli may ask for a further non-refundable deposit whereupon your failure to make such further deposit payment shall entitle The Old Theatre Deli to cease to make any further additions to the booking.

  • Where there are any last minute changes to the event caused by you which results in additional costs to The Old Theatre Deli, these will be passed on to you for payment.

  • Menu choices are required to be finalised a minimum of two months prior to the date of the event (unless it is a last minute booking, we shall provide a suitable time frame).

  • You are required to confirm the number of guests attending the event on the date indicated on the function booking request.

  • If numbers are not confirmed by the guest confirmation date The Old Theatre Deli shall take the provisional numbers as on the function booking request and reserves the right to charge for such provisional numbers.

  • For the purposes of the charges, it is not possible to reduce the number of guests after the guest confirmation date.

  • Any variation in your booking or arrangements must be put forward to The Old Theatre Deli in writing, we will try our best to accommodate however this is not always possible.

  • The Old Theatre Deli is not responsible for the purchase or hiring of any storage, water utilities or coverings eg catering tent and generator.

  • The Old Theatre Deli are required to have sufficient access to the site at all times with appropriate passes if required.

  • When providing catering services for larger events the minimum catering tent size required is 6mx6m which we do not provide.

  • The Old Theatre Deli reserves the right to cancel or interrupt any booking without notice and without any liability legal or otherwise to you or any person affected by such a cancellation in the event where any member of the public is at risk or thought to be at risk, accident, failure of electricity or gas or any other service to the venue or any delay in necessary and essential repairs of the venue or for any other reason whatsoever outside the control of The Old Theatre Deli.

  • Any government changes or laws that come into effect temporary or permanent is out of our control.

  • Glassware / crockery breakages and missing items will incur charges payable either to The Old Theatre Deli or any third party used to provide this service.

  • If the Old Theatre Deli agrees to handle any drinks for cooling of them, we accept no responsibility for breakages, loss or accidents which may occur.

  • The Old Theatre Deli reserves the right to use any digital platforms for the advertising and promotion of our business using your proposed event. If you wish not to be a part of this you have the right to inform us.

  • The Old Theatre Deli will manage all rubbish brought onto site from themselves, The Old Theatre Deli is not responsible for anything the client provides.

  • The Old Theatre Deli will provide third party meals that have been pre-arranged, however these will be managed and served after the guests have been served, The Old Theatre Deli sole responsibility is to our clients to ensure they have the best meal possible. If the client would prefer a a different option, please confirm in writing to The Old Theatre Deli before the event.

Gift Vouchers

  • The Old Theatre Deli provide gift vouchers which can be purchased with a minimum value of £5 up to £200.

  • Gift vouchers can be used in The Old Theatre Deli or The Larder.

  • Gift vouchers may not be exchanged for cash, no change will be given  but the balance can be used for future purchases.

  • The Old Theatre Deli will not be liable for lost or stolen vouchers.

  • A gift voucher is valid for 12 months from the date of the purchase.

Table Reservations in The Old Theatre Deli

  • The Old Theatre Deli reserves indoor tables, if you require the table for more than one hour please state at the time of booking.

  • Tables can only be guaranteed if booked through the telephone on 01636 815340.

  • The Old Theatre Deli does not reserve outdoor tables, we operate a first come first served system.

Sales of Alcohol

  • The Old Theatre Deli is not liable for the sales of alcohol to any individuals under the age of 18. Photographic ID is required to verify this for all individuals under 25 years of age.

  • Alcohol is not included in any tickets sold online for events with The Old Theatre Deli.
